Discovering and Adding Vendors

In this article, you will find:

  • Navigation guidance for accessing the Vendor List area.

  • A step-by-step guide on how to use the Vendor Discovery area.

Note: This feature requires a completed integration with either Microsoft 365 or Google Workspace. Please ensure that at least one of these environments has been connected to the OneClickComply platform before attempting to proceed.

Important: The automatic detection of third-party vendors is an additional service. Vendors may still be added manually through the Add Vendor function. For more information about this feature, please contact a member of the OneClickComply team.

Accessing Vendor Discovery

The Vendor Discovery area of the OneClickComply platform allows you to automatically identify all third-party vendors currently in use by your organisation (including those that have been forgotten), either Accept or Deny detected vendors, and maintain an accurate, up-to-date list of all the vendors that your business interacts with.

To access the Vendor List page, navigate to the sidebar menu and select Compliance > Vendor Management > Vendor List as shown below:

Managing Discovered Vendors

Once you have navigated to the Vendor List page, you will find the Vendor Discovery section, which will appear similar to the example shown below:

Example of the Vendor Discovery Interface

On this page, you will find a list of potential vendors that the OneClickComply platform has identified as being associated with your business. This process takes place automatically once your environments are integrated successfully.

As shown in the example above, identified vendors are initially stored in the Pending tab. Each record will contain:

Logo: The logo of the detected vendor

URL: A link to the vendor's website

Security Standards: A list of the security standards, frameworks, and regulations (identified by the OneClickComply platform) that the vendor is believed to comply with.

Accept: Accepts the recommendation, moving the record into the Accepted tab.

Deny: Rejects the identified vendor, moving the record into the Denied tab.

Note: Before actioning suggestions in the Pending tab, ensure you have validated whether the vendor is currently in use by your organisation.

Manually Adding Vendors

If a vendor has not been identified by the OneClickComply platform, or you do not have the additional service that automates this function, you can manually add a vendor by clicking the + Add Vendor option when viewing the Pending tab. See below:

Manually adding a third-party vendor

After selecting the + Add Vendor button, a dialog box will appear requesting the specific vendor domain you wish to include.

To complete this process:

  • Enter Domain: Input the URL of the vendor (e.g., example.com) into the Vendor Domain field.

  • Confirm Addition: Click the Add Vendor button within the dialog box.

Once confirmed, the platform will automatically begin scanning the provided domain to identify any relevant security standards or certifications.

Processing Your Manual Addition

Once you select Add Vendor, the dialog box will close, and a confirmation message will appear: "We are doing our due diligence on [domain], this will take a few minutes."

To view the results:

  • Wait for Processing: Please allow 2–5 minutes for the platform to complete its initial security scan.

  • Refresh the Page: After this brief period, refresh your browser to see the newly added vendor.

  • Locate in Pending: The vendor will now appear within your Pending list, alongside any identified security standards or certifications.
