Sharing and Acknowledging Documentation

This guide walks you through sharing documentation with other employees within the OneClickComply platform, and tracking acceptance.

To share a document amongst employees, navigate to the Documents area from the main navigation bar.

Then select the My Documents tab on the Documents page.

Find the policy you wish to share and click the pencil icon (Edit) to open the editing side panel.

Within the side panel, inside of the Acknowledgement section, click the Send for acknowledgement button. This will open a new window giving you two methods of sharing the document.

Note: When sharing a document, employees will receive an email containing a ‘magic link.’ This link will allow employees to read and acknowledge the document without needing to log into the OneClickComply platform. Or, if employees already have a OneClickComply account, they can access the platform and click the I acknowledge button on the required document.

Sharing with All Active Personnel

Choosing All Active Personnel will send the policy to every active employee on your organisation once the Send Notifications option is selected.

Sharing with Specific Personnel

If the document only applies to certain team members, choose the Specific Personnel option.

This will open a drop down containing a list of all known employee email address. Check the boxes next to the employees you wish to send the documentation to, then click Send Notification.

Viewing Notified Employees

If you return to the Acknowledgement section of a shared document, you will see a list of every employee that has been notified, alongside one of the following status tags:

  • Pending: They have yet to view and acknowledge the document.

  • Acknowledged: They have successfully reviewed and acknowledged the document.

This feature can be used as an alternative to standard document sharing and acknowledgement approaches (e.g. HR tools), as the records are stored directly within the platform, and can be linked to relevant Tasks, Controls, or Frameworks.
